How to Plan a Las Vegas Group Trip Everyone Can Follow

A Las Vegas group trip looks easy on paper and gets complicated fast. Twelve people land at two terminals, the dinner moves, the show runs late and everyone asks the host the same question in the group chat. We live in Las Vegas and build trip apps for groups, so here is the planning approach that keeps a group together, from the airport curb to the last night.

Arrival day at Harry Reid International Airport

Las Vegas has two passenger terminals, and the pickup spots are different at each one. Send this to guests before they fly:

Harry Reid International Airport pickup locations
TerminalRideshare (Uber, Lyft)Taxis
Terminal 1Level 2 of the parking garage, designated pickup areaOutside baggage claim on the east side, near doors 1 to 4
Terminal 3Valet Level of the parking garageLevel Zero, near door 52

Signs inside each terminal point to the pickup areas. For large groups, skip the airport meetup. Give everyone the hotel address and a time to meet in the lobby, so a delayed flight does not hold the whole group at the curb.

Meeting points people can actually find

Las Vegas resorts are enormous, and many share similar lobbies, casino floors and restaurant rows. "Meet at the casino" fails every time. A good meeting point has three parts:

  1. A photo of the exact spot, taken from the direction guests will approach.
  2. A time, with a buffer. "Meet 7:30 PM, doors at 8" works better than "dinner at 8".
  3. A map pin that opens directions in one tap.

Walking distances on the Strip are longer than they look, because resorts are large and pedestrian routes go up and over bridges. Build extra time between stops, especially in heat.

Plan around the heat and the season

From June through September the normal daily high in Las Vegas is close to or above 95°F, and the July normal is 104.5°F. Put pool days and indoor shows in the afternoon, outdoor tours early, and remind guests to carry water. Monsoon storms are possible from June 15 to September 30. Our Las Vegas weather guide has the month by month numbers.

Budget notes guests appreciate

  • Resort fees: many Las Vegas resorts add a nightly resort fee on top of the room rate. Show it in the budget you share, so nobody is surprised at checkout.
  • Convention weeks: large conventions can raise room rates and fill restaurants. Check the dates before you lock the trip.
  • Shows and dinners: book group tables and show seats early, and share the confirmation in the plan, not in a forwarded email.

Changes will happen. Plan for them.

The biggest problem on a group trip is not the plan. It is the change to the plan. A dinner moves to 9, a pickup moves to a different door, a show adds a late seating. In a group chat that update gets buried under forty messages. The fix is a single link that always shows the current plan, so the host changes it once and everyone sees the same thing.

Read what the video says

Planning a group trip to Vegas? Here's how you keep everyone on the same page.

First, the airport. At Harry Reid, rideshare pickup is in the parking garage. Level two at Terminal one, and the valet level at Terminal three.

Next, meeting points. Casinos are huge, so don't just send a name. Send a photo, a time, and a map pin.

Oh, and plan around the heat.

Because plans will change. Dinner moves, the show runs late. And one link that updates beats twenty texts in the group chat.

That's what Passage does. Your trip, in one link, with your logo on it. Full guide at Picture Perfect Video dot com.

Common questions

Where is rideshare pickup at Harry Reid Airport?

At Terminal 1, rideshare pickup is on Level 2 of the parking garage. At Terminal 3, it is on the Valet Level of the parking garage. Signs inside each terminal point the way.

How do you keep a large group together in Las Vegas?

Meet at the hotel rather than the airport, give every meeting point a photo, a time and a map pin, and keep the plan in one link that updates when anything changes.

When is the best time of year for a Las Vegas group trip?

Spring and fall are the most comfortable. Summer works with pool days and indoor plans in the afternoon, since the normal July high is 104.5°F.

What is Passage?

Passage is a custom trip app by Picture Perfect Video. We turn your itinerary into an app with your logo that guests open from one link, and we keep it updated during the trip.

Do guests need to download an app for Passage?

No. Passage opens from one link on any phone, and guests can add it to their home screen so it opens like an app.
