Picture Perfect Video ("we," "us," "our") is a video production and photography studio operating in Las Vegas, Nevada; Dallas-Fort Worth, Texas; and Los Angeles, California. This policy explains what information we collect through pictureperfectvideo.com, why we collect it, who we share it with, and what control you have over it.
We have written this in plain language on purpose. If anything here is unclear, email info@pictureperfectvideo.com and we will explain it.

1. Information we collect
Information you give us directly
- Contact and enquiry forms. Your name, company, email address, phone number if you provide one, and whatever project details you write. Submitted through Netlify Forms.
- Booking a call. If you schedule through our booking link, HubSpot collects your name, email, and meeting details on our behalf.
- Email and phone. Anything you send us directly, including attachments and project briefs.
- Client portal. If you are an existing client, the account name you use to sign in. See section 3.
Information collected automatically
- Analytics data. Google Analytics records pages viewed, approximate location derived from IP address, device and browser type, referring website, and interactions such as which buttons are clicked.
- Server and security logs. Our host, Netlify, records IP addresses, request times, and user agents for security, abuse prevention, and performance monitoring.
We do not collect payment card details through this website. Invoicing and payment happen separately, outside this site.
2. The Instant Reel tool
Our free Instant Reel maker works differently from most online video tools, and the difference matters for your privacy.
- Your videos and photos are never uploaded. All processing — reading your clips, selecting moments, rendering the finished reel — happens inside your own web browser, on your own device. Your files are never transmitted to us or to any server.
- We never see, store, or have access to your footage. Not temporarily, not in cache, not at all.
- The finished reel is saved directly to your device when you press download.
- If you enable the optional captions feature, your browser downloads a speech-recognition model file from a public code delivery network (jsDelivr and Hugging Face). That request tells those services that a file was requested from your IP address. Your audio and video are not sent to them — the model runs locally once downloaded.
- We do record anonymous usage events through Google Analytics, such as that a reel was generated, its length, and the music style chosen. These contain no personal data and no content from your files.
3. The client portal
Existing clients can sign in at pictureperfectvideo.com/clients to view project status.
- Sign-in uses your account name. We do not require you to create a personal user account, and we do not collect a personal email address for portal access.
- When you sign in, a temporary session token is stored in your browser's session storage. It is deleted when you close the tab.
- The project information shown is drawn from our internal project management system and covers only your own projects.
- Portal access details are shared with you directly by us. Please do not share them outside your organisation.
4. Third-party services we use
These services may receive data about your visit. Each has its own privacy policy governing what it does with that data.

We do not sell your personal information, and we do not share it with advertising networks or data brokers.
5. Cookies and tracking
This site uses a small number of cookies and similar technologies:
- Analytics cookies set by Google Analytics, which help us understand which pages are useful and where visitors come from.
- Session storage used by the client portal to keep you signed in during a visit, and by the Instant Reel tool to remember your settings. Both are cleared when you close the tab.
We do not use advertising cookies, retargeting pixels, or cross-site tracking.
How to opt out
- Install the Google Analytics opt-out browser add-on.
- Block or delete cookies through your browser settings.
- Use your browser's private or incognito mode.
6. How we use your information
- To respond to your enquiry and discuss a potential project.
- To prepare quotes, contracts, and schedules, and to deliver work you have commissioned.
- To keep in touch about a project already underway.
- To understand which parts of our website are useful, so we can improve them.
- To keep the site secure and prevent abuse.
- To meet our legal, tax, and accounting obligations.
We do not send marketing emails to people who have simply visited the site. If we ever start a newsletter, it will be opt-in and you will be able to unsubscribe from every message.
7. Who we share it with
We share personal information only in these situations:
- Service providers listed in section 4, who process data on our behalf in order to run the website and our business.
- Crew and subcontractors working on your project, and only the details they need to do the work, such as a venue address or an on-site contact.
- Professional advisers such as our accountant, where necessary.
- Legal requirements, if we are compelled by valid legal process, or where disclosure is necessary to protect our rights or someone's safety.
- A business transfer, if the studio is ever sold or merged, in which case your information would transfer with it.
8. Footage, photographs, and your likeness
This is separate from website data, and it matters given what we do.
- Client footage is confidential. We do not publish, license, or share footage from a client project without permission, subject to the portfolio terms in our production agreement.
- If you appear in something we filmed at an event or venue and would prefer not to, contact us and we will remove you from material we control wherever it is reasonably possible.
- Talent and model releases are handled per project in the relevant production agreement, not by this policy.
- Portfolio use. Where our agreement permits, we may show work in our portfolio, on social media, and in proposals. Any client can ask us to withdraw specific material.
9. How long we keep it
- Enquiries that do not become projects: up to two years, then deleted.
- Client records, contracts, and invoices: seven years, as required for business and tax records.
- Project footage and photographs: retained as archive unless you ask us to delete it, subject to our production agreement.
- Analytics data: retained according to Google Analytics settings, currently 14 months.
- Server logs: a short period set by our host for security purposes.
10. Your rights and choices
Whatever jurisdiction you are in, you can ask us to:
- Tell you what personal information we hold about you.
- Provide a copy of it.
- Correct anything inaccurate.
- Delete it, where we are not required to keep it.
- Stop contacting you.
Email info@pictureperfectvideo.com and we will respond within 30 days. We will not charge you, and we will not treat you differently for asking.
California residents
If you live in California, the CCPA and CPRA give you the rights above plus the right to know what categories of personal information we collect and the right to opt out of "sale" or "sharing" of personal information. We do not sell or share personal information as those laws define it. You may also designate an authorised agent to make a request for you.
Other states and countries
Residents of states with comparable privacy laws, including Texas, Nevada, Colorado, Connecticut, and Virginia, have similar rights and can exercise them the same way. If you are in the UK or the European Economic Area, you may also have the right to object to processing, to restrict it, to data portability, and to lodge a complaint with your local supervisory authority. We are a small studio based in the United States and we do not target our services to the EEA or UK.
11. Security
The site is served over HTTPS, and we apply security headers including a content security policy. Client project footage is stored on access-controlled cloud storage. We limit access to client information to people who need it to do the work.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach ever affected your personal information, we would notify you and any required authority as the law requires.
12. Children's privacy
This website is intended for businesses and adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it. Where children appear in event or venue footage we film, we handle consent through the client and venue, not through this site.
13. Changes to this policy
We will update this page when our practices change, and we will always update the "last updated" date at the top. Material changes will be noted at the top of the page. Please check back occasionally.
