Moving a Group Through DFW Airport: A Planner's Guide
Dallas Fort Worth International Airport is where many North Texas group trips begin, and it is big enough to swallow a group whole. Guests park in different garages, check in at different terminals and text the host from five different gates. Here is how planners and travel advisors keep a group together at DFW, and how to give everyone the same plan in one link.
DFW at a glance
| Topic | What to know |
|---|---|
| Terminals | Five terminals, A, B, C, D and E, with 168 gates |
| Skylink | Free train inside security connecting all five terminals; arrives about every two minutes; the longest ride between terminals is about nine minutes |
| DART rail | Station near Gate A10 in Terminal A |
| TEXRail | Connects Fort Worth with the airport; station near Gate B30 in Terminal B |
| Rideshare | Pickup on the upper level curb |
| Distance | About 18.5 miles from Dallas |
Why you meet at a gate, not the curb
Because Skylink runs inside security, every terminal is reachable once guests are through screening. A curbside meetup forces everyone to arrive at the same entrance at the same time, which rarely happens when guests come from different neighborhoods, garages and rideshares. Instead:
- Tell each guest their airline, terminal and check-in time.
- Let them clear security at the closest checkpoint.
- Meet at the departure gate, or at a named spot near it, at a set time.
- Do a head count there, where nobody can wander back to the curb.
Departure day timing
- Arrive early. Groups move at the speed of the slowest bag drop. Build in extra time beyond what you would allow for one traveler.
- Parking: if guests drive, send the garage and terminal in advance, since walking between terminals before security is not the plan.
- Two airports: Dallas also has Love Field. Put the airport code in every message so nobody drives to the wrong one.
- Return trip: share the rideshare pickup spot and rail options before guests land, not after.
Rail and rideshare for arrivals
For groups heading into the city, DART rail at Terminal A connects to Dallas, and TEXRail at Terminal B runs to Fort Worth. Rideshare pickup is on the upper level curb. Confirm current schedules and fares on the DART and DFW websites before you send them to guests.
Give the group one plan that updates
Gate changes, delays and a moved dinner reservation are normal on travel day. The problem is getting the change to everyone at once. With a group text, half the group reads it late. With one link that always shows the current plan, the host updates it once.
That is what Passage does. You send the itinerary in any format and we turn it into a trip app with your logo: today's plan, meeting points with a photo, a time and a Go button, maps, photos and video for every stop, and live updates during the trip. Guests open one link on any phone, with nothing to download. After a free call we build a free preview within 48 hours, and the full app is ready in five business days.
