Planning a Dallas Group Weekend: The Logistics Checklist

A Dallas group weekend falls apart in the gaps: the friend who books into the wrong airport, the four people waiting at the wrong curb, the bar that stopped pouring before half the group arrived. This guide covers the logistics a host has to get right in Dallas, from the airports' and DART's own pages, then shows how to hand the whole weekend to guests in one link.

Guide cover: planning a Dallas group weekend
The short version: name the airport, name the meeting point, and send one schedule that updates.

Step 1: Name the airport, every single time

Dallas Fort Worth International and Dallas Love Field are both real options, roughly on opposite sides of the metroplex, and a group that books across both needs two arrival plans. Write the code, DFW or DAL, next to every flight time you collect.

At Love Field, the airport moved app based rides, peer to peer, limo and taxi pickups to Garage B. The airport tells arriving passengers to follow terminal signs to the south end of parking Garage B to meet their driver, and notes that Lyft riders need to be at the lower level curb for the pickup location to appear in the app. Tell your group that before they land, not while they are standing at the old curb.

At DFW, the terminals are connected inside security by the Skylink train and outside security by the Terminal Link shuttle, so a group that clears security at different checkpoints can still meet at a gate. Our DFW Airport group travel guide walks through meeting points, rail and departure day timing in detail.

Step 2: Decide how the group moves, before they land

DART reaches both airports, and for a weekend spent between downtown, Deep Ellum, the Arts District and Uptown, transit plus short rideshares usually beats one car per couple.

DART service to the two Dallas airports
AirportHow DART connects
DFW AirportOrange Line light rail to DFW Airport Terminal A Station, with a walkway to Terminal A at the lower level curb, Entry A-10. The Silver Line serves Terminal B Station, and the TRE LINK shuttle connects CentrePort/DFW Airport Station with Terminal D.
Dallas Love Field (DAL)Bus Route 5 Love Link runs between the airport and Inwood/Love Field Station on the Green and Orange lines. It picks up along the lower level drive outside baggage claim; follow the signs to Ground Transportation. The airport says the ride to the station is free, and $2.50 from the station to the airport.
BothDART Rail has 76 stations, and you can transfer between lines in downtown Dallas at Pearl/Arts District, St. Paul, Akard and West End.

Luggage is the catch. DART has no luggage racks on light rail vehicles or buses and operators do not help with bags, so a group with big suitcases moves slowly. The Silver Line has overhead racks and a dedicated luggage area.

Step 3: Buy the right passes, one per person

Fares are simple once you know which zone you need. A Local Pass covers DART Rail, the Silver Line, buses, GoLink, the Dallas Streetcar and the TRE between EBJ Union Station and CentrePort/DFW Airport Station. A Regional Pass adds Trinity Metro in Fort Worth and DCTA in Denton County under one fare.

PassPrice
Local Day Pass$6.00 regular, $3.00 reduced
Regional Day Pass$9.00 regular, $4.50 reduced
3-Hour Pass$3.00 regular, $1.50 reduced
Dallas Streetcar one-way$1.00, on the GoPass app or a GoPass Tap card
Local 31 Day Pass$126.00 regular, $63.00 reduced
Day pass validityUnlimited rides on the date of purchase or activation, through 3 a.m. the following day
How to payGoPass app, ticket vending machines at rail stations, a GoPass Tap card, or a contactless card or phone tapped at a reader
QuestionsDART Customer Relations, 214-979-1111, 5 a.m. to midnight

Two details worth repeating to your group. Ticket vending machines sit at every DART and TRE rail station except DFW Airport Terminal B Station. And each rider needs a unique form of contactless payment, so one person cannot tap twelve friends through a gate: have each guest buy a day pass in the GoPass app the morning they arrive.

DART also offers a discounted pass for conventions, special events and large groups, worth a call if your weekend is a company offsite.

Step 4: Use the free trolley for the Uptown leg

The M-Line Trolley is the easiest win in a Dallas weekend. It is run by the nonprofit McKinney Avenue Transit Authority, it is free, and it links Uptown and West Village with Klyde Warren Park, the Arts District and downtown.

M-Line Trolley hours and timing

Monday to Thursday7 a.m. to 10 p.m.
Friday7 a.m. to midnight
Saturday10 a.m. to midnight
Sunday and holidays10 a.m. to 10 p.m.
FrequencyA trolley typically arrives at a stop every 17 to 20 minutes
Full loopAbout one hour, depending on traffic and weather
Days of service365 days a year, three cars most days
Rail connectionsCityPlace/Uptown Station for the Red, Blue and Orange lines, and St Paul Station from Federal and Harwood

MATA warns that third party apps, including Google Maps, Apple Maps and the DART trip planner, do not show real time trolley arrivals, so point guests at the MATA rider app instead. For the other direction, the Dallas Streetcar runs a 2.45 mile route with six stops between EBJ Union Station downtown and the Bishop Arts District in Oak Cliff, for $1 one way on the GoPass app or a Tap card.

Step 5: Know the last call rules before you book the night

Texas sets the hours, and the local jurisdiction decides whether late hours are allowed, so a bar in one city may close earlier than a bar twenty minutes away. For a mixed beverage permit holder, the Texas Alcoholic Beverage Commission puts the regular hours at 7 a.m. to midnight Monday through Friday, 7 a.m. to 1 a.m. on Saturday night into Sunday, and Sunday from 10 a.m. with food service, or noon without it, until midnight.

Service can run until 2 a.m. daily only if the local jurisdiction permits it and the business holds a Late Hours Certificate from TABC. After closing, no alcoholic beverage may be served or consumed 15 minutes later. Plan the schedule around the real closing time of the specific venue you booked, and confirm it with that venue.

Step 6: Write the schedule guests can actually follow

Most group weekends are planned in a spreadsheet and delivered in a group chat, which is how a dinner reservation becomes forty unread messages. Give every stop four things: a time, an address, a map pin and what to wear.

A Dallas group weekend, laid out
WhenStopWhat guests need
Friday afternoonArrivalsAirport code, terminal, the exact pickup spot (Garage B at Love Field), who is sharing a ride
Friday eveningDinner in Deep Ellum or downtownAddress, map pin, arrival time rather than reservation time, dress code
Friday nightBarsThe venue's actual closing time, how everyone gets back, a meeting point if the group splits
Saturday middayUptown and Klyde Warren ParkNearest trolley stop, trolley hours, the walk time, a weather note
Saturday eveningThe main eventArrival time, parking or rideshare plan, what to bring, who has the tickets
Sunday morningBrunch in Bishop ArtsStreetcar from EBJ Union Station, checkout time, flight times and airport codes

Then decide how a change reaches everyone. A moved reservation or a late flight is normal. The question is whether the group hears it once, in one place, or in six threads.

Three Dallas details hosts forget

  • Heat and season. Outdoor plans in a Dallas summer need shade, water and a backup. Monthly normals are in our guide to the best time to film outdoors in Dallas, and they work just as well for planning a patio dinner.
  • Distances. The metroplex is wide. A hotel in one suburb and a dinner in another can be 40 minutes apart in Friday traffic, so group stops that are close together on the same evening.
  • Return trips. Send each guest the airport code, the terminal and a leave by time the night before.
