# Family Reunion Trip Planning: One Itinerary the Whole Family Can Follow

By [Charles Andrulis](https://pictureperfectvideo.com/about) · Picture Perfect Video · October 30, 2026

A family reunion is a group trip with the widest age range you will ever plan for. Grandparents, toddlers, teenagers and cousins who have never met all arrive from different cities, on different days, with different needs. The planning usually lives in a group chat that half the family has muted. This guide gives you a planning timeline, shows what one shared itinerary needs to hold, and lists the federal travel rules that most often catch families at the airport.

The short version: one organizer, one plan, one link for everyone.

## The short answer

Pick one organizer and one helper per family branch, set the dates and place early, and keep the whole plan in one shared itinerary with a time, an address and a map pin for every event. Before anyone books a flight, check IDs: since May 7, 2025, adults need a REAL ID or another acceptable ID to fly in the U.S., and an adult without one must pay a $45 TSA ConfirmID fee with no guarantee of getting through. Children under 18 do not need ID for domestic flights. If the reunion is abroad, every child under 16 needs a passport applied for in person with both parents or guardians.

## Why reunions are harder than other group trips

A bachelor party or a team offsite has one kind of guest. A reunion has all of them at once. The things that make it hard are predictable, which means you can plan for them:

  * Many households, many budgets. Every branch books its own flights and rooms, so arrival times are spread across a day or two.
  * Every age at once. Naps, mobility, early dinners and late nights all need to fit in the same weekend.
  * Different levels of tech comfort. Some relatives live in the group chat. Others never open it. The plan has to work for both.
  * Information spread everywhere. Hotel details in one email, the picnic address in a text, the photo time in a voice memo. Nobody has the whole picture.
  * Changes reach some people, not all. When the dinner moves, the people who most need to know are often the last to hear.

## A family reunion planning timeline

The exact months depend on your family, but the order rarely changes: decide the big things early, check documents well before travel, and send the final plan before anyone packs.

A family reunion planning timelineWhen| What to decide or do
---|---
9 to 12 months out| Choose the organizer and a helper for each family branch. Agree on a date range and two or three possible places. Collect a contact for every household.
6 to 9 months out| Set the dates and the place. Book the main lodging or a hotel block. Ask every household about mobility needs, dietary needs and the ages of the kids.
4 to 6 months out| Check every traveler's ID now. Adults need a REAL ID or other acceptable ID for domestic flights. For travel abroad, start passports, since children under 16 must apply in person.
2 to 3 months out| Draft the day by day schedule: arrival day, the main event, meals, the family photo, free time and departures. Decide who pays for what.
1 month out| Send the full itinerary to everyone in one place. Confirm headcounts with venues and restaurants. Assign a ride for anyone who needs one.
The week before| Send a reminder with the first day's plan, the weather and what to bring. Ask anyone flying with special needs to contact TSA Cares 72 hours before travel.
During the reunion| Post changes in the same place as the plan, not in a side chat. Keep one person in charge of updates.

## What one shared itinerary needs to hold

A good reunion itinerary answers the questions relatives would otherwise text the organizer about. If it does not answer them, the organizer spends the weekend answering them instead.

What to put in a family reunion itineraryItem| Why it matters
---|---
Every event with a time and an address| Arrival time, not just start time, so families with kids are not late to the photo
A map pin for every place| Lodging, venues and restaurants on one map, with one tap for directions
Meeting points with a photo| "Meet at the hotel" fails in a big hotel. A photo of the exact spot does not.
Who is coming and where they are staying| Helps cousins share rides and helps the organizer count heads
Ride and parking notes| Who drives whom, where to park, and how older relatives get from the car to the door
Kid and accessibility notes| Nap friendly gaps, stroller access, step free entrances and seating for older relatives
What to bring| Photo outfits, swimsuits, the family recipe, the old albums
Who to call| The organizer and each branch helper, with phone numbers
Changes| One place where the latest plan always lives

Keep the language plain and the buttons big. The test is simple: could your least techy relative find tomorrow's first event in under ten seconds?

## Airport rules that catch family groups

Most reunion trouble at the airport comes from IDs and kids' gear. These are the current federal rules. Airlines add their own policies on top, especially for children flying alone, so check each airline too.

Federal travel rules to check before a family reunionRule| What it means for your family
---|---
REAL ID for adults| TSA enforcement began May 7, 2025. Adults need a REAL ID compliant license or ID, a passport or another acceptable ID to fly within the U.S.
TSA ConfirmID| An adult without acceptable ID can pay a $45 fee on Pay.gov before reaching the checkpoint. TSA will try to verify identity, with no guarantee.
ConfirmID details| Each adult 18 or older pays separately. Someone else can pay for a relative. The payment covers 10 days from the travel date entered. No cash.
Kids and ID| Children under 18 do not need ID for domestic flights. A child flying alone with TSA PreCheck needs acceptable ID for PreCheck screening.
Kids at screening| TSA uses modified screening for children who appear to be 12 and younger. Standard screening applies at 13 and older.
Formula and breast milk| Allowed in carry-on above 3.4 ounces, outside the quart bag. Tell the officer at the start of screening.
Lap babies| The FAA strongly discourages flying a child on a lap. Buying a seat is the only way to guarantee use of a child safety seat.
CARES harness| FAA certified for children up to 40 inches tall who weigh 22 to 44 pounds.
Passports under 16| Apply in person with both parents or guardians on Form DS-11. A parent who cannot attend signs Form DS-3053 before a notary.
Child passport validity and fees| Valid for 5 years. The passport book fee is $100, plus a $35 acceptance fee. Expedited service adds $60.

Two habits prevent most problems. First, ask every adult to check the front of their license a few months out for the REAL ID star or flag, or the word Enhanced, while there is still time to get a new one. Second, for a reunion abroad, start children's passports early. The State Department says it may take two weeks after you apply just for the application status to show as In Process, and processing times change, so check the current times before you book.

## Give every branch of the family a job

One organizer cannot carry fifty people. Spreading the work is the difference between a reunion the organizer enjoys and one they survive.

  1. The organizer owns the plan and is the only person who changes it.
  2. A helper for each branch collects that branch's arrival times, room needs and headcounts, and makes sure their relatives have the link.
  3. A money person tracks deposits and shared costs, so the organizer is not also the bank.
  4. A ride captain matches relatives who need rides with relatives who have cars.
  5. A memory keeper handles the family photo, the slideshow and the old albums.

Write these names into the itinerary itself, with phone numbers, so nobody has to ask who to call.

## Put the whole reunion in one link with Passage

A group chat is good for jokes and baby photos. It is not good at answering "where are we meeting tomorrow?" for the fifth time. [Passage](https://pictureperfectvideo.com/travel) is the custom trip app we build for groups. You send the reunion plan in any format, a PDF, a document, a spreadsheet or an email, and we turn it into a trip app with your logo and colors, with photos, video and maps for every day and stop.

What a family reunion gets in a Passage trip appFeature| What it does for a reunion
---|---
Today's plan| Every event for the day, in order, so relatives see where they are going next
Maps| The whole trip on a real map. Tap a pin to see the place, then tap Go for directions.
Meeting points| Every meeting point has a photo, a time and a Go button
Live updates| Tell us what changed and we update it, usually within the hour, 8 AM to 9 PM destination time. Everyone sees the new plan on the same link.
Nothing to download| Relatives open one link on any phone and can add it to their home screen so it opens like an app
Works without signal| Tap Save offline once on Wi-Fi. Day plans, photos, lists and the route map then work with no signal.
Private| Each trip app has a trip password. There are no accounts, ads or tracking.

It works like this: book a free call and tell us about the reunion, then send the plan. Within 48 hours you see a free preview in your logo and colors, with no commitment. The full app is ready in 5 business days, and we handle the updates during the trip. Pricing depends on the trip, so the free call is where we walk you through it. ## If the reunion is in Las Vegas or Dallas

We have written detailed group travel guides for both cities: [Las Vegas group trip planning](https://pictureperfectvideo.com/las-vegas-group-trip-planning) covers arrivals and getting around, and [moving a group through DFW Airport](https://pictureperfectvideo.com/dfw-airport-group-travel-guide) covers the airport side in Dallas Fort Worth. ## Common questions

### How far in advance should you plan a family reunion trip?

Start 9 to 12 months out if you can. That leaves time to agree on dates, book lodging, check every adult's ID and, for travel abroad, get children's passports, which must be applied for in person.

### Do kids need ID to fly to a family reunion in the U.S.?

No. TSA says children under 18 do not need ID for domestic flights. A child flying alone with TSA PreCheck needs acceptable ID for PreCheck screening, and airlines set their own rules for unaccompanied minors.

### What happens if a relative does not have a REAL ID?

They can bring a passport or another acceptable ID. Without one, they can pay the $45 TSA ConfirmID fee on Pay.gov before the checkpoint, and TSA will try to verify their identity, with no guarantee they get through.

### What should a family reunion itinerary include?

Every event with an arrival time, an address and a map pin, meeting points with a photo, lodging, rides and parking, kid and accessibility notes, what to bring, and the phone numbers of the organizer and each branch helper.

### Is there an app for a family reunion itinerary?

Passage turns your reunion plan into a private trip app with your logo that relatives open from one link, with nothing to download. It works offline after one save on Wi-Fi, and we update it during the trip.
