# DFW Youth Sports Tournament Travel: The Team Logistics Plan

By [Charles Andrulis](https://pictureperfectvideo.com/about) · Picture Perfect Video · November 2, 2026

A tournament weekend in Dallas Fort Worth is twenty small trips that have to land at the same field at the same time: families on different airlines, a coach with the bat bag, grandparents driving in, and a bracket that changes after every game. This guide covers the rules a team manager has to get right, from TSA, the airlines, Texas law and the National Weather Service, then shows how to give every family one schedule that keeps up.

The short version: check the gear, check the kids' travel rules, then send one schedule that updates.

## The short answer

Bats and hockey sticks go in checked bags, because TSA does not allow them in the cabin. Players under 18 do not need ID for domestic flights, but every adult needs a REAL ID or another acceptable ID, or must pay the $45 TSA ConfirmID fee. A player flying without family may need the airline's unaccompanied minor service: American Airlines requires it for ages 5 to 14 at $150 each way plus tax, and Southwest requires it for ages 5 through 11 traveling without a passenger 12 or older. Texas requires a child safety seat for kids under 8 unless they are taller than 4 feet 9 inches, and the National Weather Service says to wait 30 minutes after the last thunder before play resumes. Then put every game and meeting point in one schedule on one link.

## Step 1: Build the team roster for travel, not just for games

The game roster has names and numbers. The travel roster needs more: who each player travels with, how they get to Dallas Fort Worth, and which airport they use. Dallas has two, DFW International and Dallas Love Field (DAL), so put the airport code next to every flight time.

What the travel roster needs for each playerField| Why it matters
---|---
Traveling with| Parent, another team family, a coach, or alone. This decides which airline rules apply.
Arrival and departure| Airline, flight number, airport code and time, so rides and room check ins can be planned.
Hotel and room| Who is in which room, and the adult responsible for that room.
Ride to the fields| Which car, van or parent each player rides with on each game day.
Emergency contact| A parent or guardian reachable by phone during every game window.

If your event has a housing policy, sometimes called stay to play, read it before anyone books a room. It can decide which hotels count for the team, and the deadline usually comes long before the bracket is posted.

## Step 2: Pack the gear for TSA and the airline

Most gear flies without trouble. The exceptions are items that can be swung.

TSA rules for common team gearItem| Carry on| Checked
---|---|---
Baseball and softball bats| No| Yes
Hockey sticks| No| Yes
Basketballs, baseballs, footballs and soccer balls| Yes| Yes
Sunscreen, sprays and gels| Only travel size, 3.4 ounces (100 milliliters) or less per item, in one quart size bag| Yes
Final say| The TSA officer at the checkpoint decides whether an item is allowed|

TSA says sports equipment that can be used as a bludgeon, such as bats and clubs, must go in checked baggage. Size, weight and fees for a bat bag are set by each airline, so check your carrier's baggage page before the team books.

## Step 3: Know the ID and minor rules before anyone books a flight

Teams travel in every combination, and the airline's rule decides what happens at check in.

ID and minor rules for team travelWho is flying| What applies
---|---
Players under 18| TSA does not require ID for domestic flights. A child flying alone with TSA PreCheck needs acceptable ID to get PreCheck screening.
Adults 18 and older| A REAL ID compliant license or ID, a passport or another acceptable ID. Without one, each adult pays the $45 TSA ConfirmID fee on Pay.gov, with no guarantee TSA can verify their identity.
Alone on American Airlines, ages 5 to 14| Unaccompanied minor service is required, $150 each way plus applicable taxes, booked by phone. The fee covers siblings on the same flight.
Alone on American Airlines, ages 15 to 17| The service is optional, and the fee applies if you request it.
With an older traveler on American Airlines| Children ages 2 to 14 can travel as an accompanied minor with someone 16 or older.
Alone on Southwest, ages 5 through 11| Children traveling without a passenger 12 or older must travel as unaccompanied minors, on nonstop or same plane flights only. Southwest lists the current fee on its optional travel charges page.

Build in the time. American Airlines asks families to arrive at least two hours before an unaccompanied minor's flight, and does not hold or give personal medication to an unaccompanied child. Southwest asks the adult picking a child up to be at the gate 45 minutes before arrival with a government issued photo ID. Put those times in the team schedule. For meeting points inside DFW Airport, see our [DFW Airport group travel guide](https://pictureperfectvideo.com/dfw-airport-group-travel-guide).

## Step 4: Plan the rides between hotel and fields

Tournament fields are spread across the metroplex, so most teams carpool. Three rules apply.

  * Car seats and boosters. Texas Transportation Code 545.412 makes it an offense to transport a child younger than 8, unless the child is taller than 4 feet 9 inches, without keeping the child in a child passenger safety seat system according to the manufacturer's instructions. If a younger sibling or player rides with another family, the seat has to go too.
  * Never leave a child in the car. Under Texas Penal Code 22.10, it is an offense to knowingly leave a child younger than 7 in a vehicle for longer than five minutes without someone 14 or older in the vehicle.
  * 15-passenger vans. NHTSA advises that only experienced drivers who regularly drive this type of van drive one, that everyone buckles up, that tire pressure is checked before each use, that no more than 15 people ride, and that nothing is loaded on the roof.

Assign each player to a specific car for each game day, and write it into the schedule.

## Step 5: Plan for lightning and heat on game day

Outdoor tournaments in North Texas get stopped by storms, and the delay is the part families plan for least. The National Weather Service recommends that organized outdoor activities have a lightning safety plan and follow it without exception.

National Weather Service lightning guidance for outdoor sportsQuestion| What NWS says
---|---
When to stop| If you see lightning, hear thunder, or the sky looks threatening. Thunder can usually be heard about 10 miles away.
Where to go| A substantial building with wiring and plumbing, or a hard topped metal vehicle with the windows closed. Dugouts, rain shelters and sheds are not safe.
When to resume| At least 30 minutes after the last thunder.
Who decides| A designated lightning monitor, not the coach, umpire or referee, who are busy with the game.
If someone is struck| Call 911. Victims do not carry an electrical charge, and CPR or an AED may be needed.

The tournament's rules decide the official restart. The team's job is telling families where to shelter and how they will hear that play has resumed. For heat, monthly normals are in our [guide to the best time to film outdoors in Dallas](https://pictureperfectvideo.com/dallas-best-time-to-film-outdoors).

## Step 6: Write the schedule families can actually follow

A tournament schedule changes all weekend, and Sunday game times are often not known until Saturday night. Give every stop a time, an address, a map pin and what to bring.

A DFW tournament weekend, laid outWhen| Stop| What families need
---|---|---
Thursday or Friday| Arrivals| Airport code, flight times, who is picking up which player, hotel address
Friday evening| Check in and team meeting| Hotel lobby meeting spot with a photo, room list, uniform plan for each game
Saturday morning| Pool play| Field number, complex address, map pin, arrival time for warmups rather than game time, ride assignments
Saturday midday| Between games| Where the team eats, where the shade is, the lightning shelter plan
Saturday night| Bracket posted| Sunday game times as soon as they are known, one message to everyone
Sunday| Bracket play and departures| Field, time, checkout time, and a leave by time for every flight

Then decide how a change reaches every family: once, in one place, not in a group chat with two hundred unread messages.

## Put the whole tournament in one link with Passage

[Passage](https://pictureperfectvideo.com/travel) is the custom trip app we build for group trips, and clubs are one of the groups it was made for. ## Common questions

### Can you bring a baseball bat on a plane as a carry on?

No. TSA does not allow baseball or softball bats in carry on bags because sports equipment that can be used as a bludgeon must go in checked baggage. Bats are allowed in checked bags, subject to your airline's size, weight and fee rules.

### Do kids need ID to fly to a tournament in Dallas?

Not for TSA. Children under 18 do not need ID for domestic flights. Adults need a REAL ID or another acceptable ID, and a child flying alone may need proof of age for the airline's unaccompanied minor service.

### Can a player fly with a coach or another team parent instead of a guardian?

On American Airlines, children ages 2 to 14 can travel as an accompanied minor with someone 16 or older. On Southwest, children 5 through 11 traveling without a passenger 12 or older must travel as unaccompanied minors. Check the exact airline rules before booking.

### How long should a youth game wait after thunder?

The National Weather Service says to wait at least 30 minutes after the last thunder before resuming outdoor activities. The tournament's own rules decide the official restart.

### How do you share a tournament schedule with every family on the team?

Send one schedule with a time, address, map pin and what to bring for every game and stop, and keep it in one place that updates. Passage turns that schedule into a trip app with your club logo that every family opens from one link.
